Custom Options

Custom Options allows users to create custom fields that, when added to a retention schedule, will add that field to every document under that schedule.


Custom Metadata

Custom fields have three types:

  • Number
  • Date
  • Text

Date fields can be used to check time intervals in Retention Schedules.

A single field can be keyed to a Custom Event, so that the field must be set as part of completion of the event.

Example

If you have the custom event Termination, you can key the custom field termDate. When the Termination event occurs, the user will have to input a value for termDate before the event can complete.

There are three ways to set a custom metadata value:

1) In the RM Dashboard, the value you can be set in the Record Details
2) In the RM Dashboard, as part of completing a Custom Event
3) In the standard search view, when completing a Custom Event through the RM Events widget
4) Through the Records Management REST API

All Custom Metadata are searchable through the Record Search in the RM Dashboard.


Custom Events

Custom Events allow users to create their own events, that can then be applied to Retention Schedules.

Additionally, you can key a Custom Field to the event so that the field must be populated upon event completions.

Example: If you have the custom event Termination, you can key the custom field termDate. When the Termination event occurs, the user will have to input a value for termDate before the event can complete.

Events can be completed 3 ways:

1) In the RM Dashboard, in the Record Details pane.

2) In the standard search view, through the RM Events Widget.

3) Through the Records Management REST API

All Custom Events are searchable through the Record Search in the RM Dashboard.


Transfer Destinations

You can create a disposition step that will transfer files to another location.

To create a transfer destination enter the following:

  • Display Name
  • Description
  • The file path of the location
